COVID-19 CORONAVIRUS PANDEMIC UPDATE

Along with the rest of the world, HVCC is closely monitoring the evolving situation of COVID-19 and determining how best to navigate through it — keeping the interests of our clients, vendors, staff and their families at the forefront. As a management team, HVCC has been meeting regularly to discuss the latest news associated with the Coronavirus and augmenting our corporate pandemic policy as new information comes to light.

To ensure continuity of service to our clients and the safety and health of our associates, here are some of the steps HVCC has already taken to face the potential impact Coronavirus/COVID-19 may cause:

Management Strategies:
• Communicating to associates about general virus transmission prevention steps (e.g., hand washing, sneeze etiquette, etc.)
• Providing hand sanitizers, disinfectant wipes, and other supplies at all locations
• Actively encouraging sick associates to remain at home
• Limiting large meetings, gatherings and events
• Performing increased environmental cleansing
• Scaling back on non-essential air travel
• Instructing associates that have traveled internationally to work from home for 14 days prior to returning to the office
• Preparing for increased absenteeism
• Refreshing cross training initiatives

Technology Strategies:
• Reassessing essential functions and response plan based on the existing event
• Validating associate work-from-home (WFH) readiness
• Ensuring that technology, infrastructure and telephony are ready to support a potential increase in WFH arrangements
• Validating emergency associate communication strategies

Vendor Strategies:
• Continuing to interview critical business vendors regarding their strategies and plans of actions to provide continuity of service
• Staying in regular contact with the national independent vendor panel regarding localized activity that could potentially impact vendor availability or field service levels

As things progress, we will continue to communicate openly with our clients. We will also remain adaptable to the situation and modify our pandemic business continuity and disaster recovery analysis and execution plan to best support and protect all parties.
